Billing

Billing mistakes on a busy restaurant counter

Most billing mistakes are not a maths problem. They happen because two orders, two payments, and a changed price are living in someone's head.

How a correct order becomes a wrong bill

On a quiet Tuesday the cashier can add a bill in their head. On a Saturday they cannot. A table adds a starter after the bill was started. A parcel is taken on the same page. The board says one price and the notebook still has last month's price.

The guest does not see that chain. They see a total that does not match what they ate, or a wait at the end while someone re-adds the bill. In a small Mumbai restaurant that wait is the complaint, even when the food was fine.

What it costs besides the argument

A held table is a table you cannot seat. A disputed bill is often settled by removing an item, so the restaurant pays for the confusion. UPI makes this worse when the payment notification is on a personal phone and nobody ties it to an order number. The money arrived. The bill still looks open. Or the bill was closed and the money was for a different table.

  • Items that were served and never billed
  • Items billed and never cooked
  • A price the guest saw on the board, and a different price on paper
  • Two families paid, and one payment was marked against the wrong table

A routine that still works at rush hour

Keep one source for the price. If the plate changes, change the price you bill from before service, not only the board. Take one order at a time. Settle it, or leave that table's bill open, before you punch the next guest in a queue.

Read the total once before you mark it paid. If you print a QR, the amount in the QR should be the bill total, so the guest is not typing a rounded guess.

Do not mix a parcel and a dine-in table on the same slip. Give the parcel a token or a name. Give the table a number. The kitchen and the cashier then mean the same order.

How W8R takes this off the counter

W8R is the menu, the order, and the bill in one place. You punch the items, print the bill, and print the kitchen slip on the 80mm thermal printer you already use. You can put a QR on the bill with the bill amount. You change a price yourself, without calling a technician.

The order stays in a list with how it was paid. That is the list you close against cash and UPI, instead of reconstructing the night from notifications.

W8R will not fix a price you entered wrong. It bills the menu you saved. It also does not pull Swiggy or Zomato orders in by itself.

What to change on the next service

Pick one meal, lunch or dinner, and run it with a printed bill for every order. Do not try to rebuild last month. At the end of that service, look only for bills you had to discount because the total was wrong. If that number drops, keep the routine for the next service.

Tell the person on the counter that a verbal price is not a price. If the guest was quoted something else, fix the menu first, then reprint. A Mumbai queue will accept a short pause for a correct total more easily than an argument after they have paid.
